Asian American Organizing Project (AAOP) is soliciting a Request for Proposal from qualified individuals or businesses within Minnesota to recommend and provide human resource (HR) consulting services through an equity and justice lens. The total budget available for this project for the 2023 calendar year is $10,000 with the potential to continue into 2024 if budget and organizational needs permit.

Background

AAOP is a non-partisan organization led by and for young Asian Minnesotans in the Twin Cities. Through our grassroots organizing efforts and programming, we aim to develop young Asian community leaders to resist oppression and co-create a more just future for their families, schools, communities, and cities. AAOP has approximately six full-time employees and one part-time employee. The HR duties are managed by the Executive Director.

Project Scope

The selected bidder will be responsible for providing HR services through an equity and justice lens to the management team and board members. The scope of services to be provided will include, but not limited to:

HR Audit and Compliance

Conduct a one-time HR audit and make recommendations using an equity lens to improve and strengthen HR operations, including legal compliance of practices and policies.

Review and provide recommendations to the employee recruiting, interviewing, reference and background check, hiring and onboarding process.

Assess job descriptions, pay-scale and benefits and assure competitiveness and comparison to similar nonprofit organizations.

Present findings to management team and board members; update employee handbook and assist the management team with rolling out changes to employees.

Employee Relations

Develop and implement processes for regular employee surveys and feedback, and exit interviews.

Provide consultation and training to the management team on disciplinary process, conflict management, performance documentation, employee motivation, recognition and retention and coaching skills.

Make recommendations for long-term HR considerations, such as ongoing training for employees and management team, hiring and onboarding an employee responsible for HR duties and succession planning.

Volunteer: Curriculum Trainer

Girls Are Powerful (GRP) is launching its Mentor Program, which will bring together girls ages 7-17 of all races, cultures, and lived experiences to discover and embrace their identities and use their power to positively impact their communities. This program will connect groups of girls with Peer Mentors and Adult Mentors, who will guide participants through a three-year curriculum within a safe environment for sharing and growth. GRP will launch the program virtually in the fall of 2022. 

Role Summary 

The Trainer will work alongside the Mentor Program team to deliver the program curriculum to Mentors. The Trainer is responsible for leading this process by mapping out and facilitating a virtual training program for Mentor groups. These sessions should prepare Mentors to deliver the Program Curriculum to their mentee groups through an inclusive and justice-focused lens. Training sessions will take place monthly over the course of six – eight months.

Time Commitment: 15-20 hours per month, 1 Year Commitment* with option to renew

    o Assist the organization in identifying potential donors and prospects for the organization. As part of these efforts, members
      may be asked to host a cultivation event for donors/prospects on behalf of the organization (backstage tour, opening night
      party, performance...).

    o Members are asked to help pitch sponsorship and/or grant support from their place of business if a corporate giving program
       is in place.

    o Contribute a personal gift to the annual fund each year. The Board believes that financial contribution is a core responsibility
       and that the Board must lead for others to follow. The Board has set a standard of 100% participation in the annual fund as a  
       statement of our leadership, accountability for Ballet Co.Laboratory’s financial stability, and respect for our donor base
      (granting foundations often expect 100% board participation).

While philanthropic capacity will vary on the Board, members are asked to make Ballet Co.Laboratory a top priority in their philanthropic plans. The Board’s minimum unrestricted personal gift is currently $2,500 per year, with the hopes that members will consider larger gifts when possible. Peer Mentors are high school or college-aged students aged 16-23 who are interested in sharing their own lived experiences with younger girls and serving as a role model in their community. As Peer Mentors, they will be paired with an adult woman mentor to facilitate virtual mentorship sessions for groups of girls ages 8-11.

Peer Mentors are committed to working alongside their Adult Mentor to create a welcoming environment for their group of mentees using Girls Are Powerful principles.  Peer Mentors will help guide their girls in acquiring and applying the knowledge, skills, and attitudes to discover their differences, acknowledge their essence, build their esteem, embrace their power, and establish and maintain supportive relationships.   

Peer Mentors have a demonstrated commitment to social and racial justice, an understanding of the societal challenges that many are facing and experience working with people of different backgrounds.

Volunteer: Memory Companion Volunteer (Age 18+)

Volunteers spend time with individuals who have mild to moderate memory loss while their caregivers take a break or attend support groups and programs offered by the Center or others in the community.  Time commitment is flexible.

Volunteers provide socialization, meaningful activities and friendly visiting. Visits typcially  place in client’s home.

Mentors will get a monthly stipend for mentoring. Mentors are expected to provide, create, and maintain the ‘four Es’ throughout the mentor/mentee relationship: empowering, encouraging, engaging, and equipping. The mentor/mentee relationship will be intentionally matched by the needs and/or preferences of the mentee.. Each mentor will be paired with a max of two mentees for four (4) hours of direct engagement each for a total of eight (8) hours monthly. There will be a number of community building sessions during the year when all the mentors and mentees will gather and build relationships.
